Home Health Aide Training, Program Associate

The Home Health Aide Training Program Associate ensures all required documentation is accurately collected and tracked in the Salesforce and Test Invite systems. This role combines clerical and program responsibilities, requiring strong attention to detail and organizational skills. The associate handles program inquiries, maintains databases and schedules, conducts information sessions, and facilitates pre-employment screenings.

Responsibilities

Program Support

  • Screen and direct incoming calls; respond to program inquiries.
  • Coordinate all incoming program requests for information.
  • Complete all required eligibility documentation for applicants accurately and timely.
  • Maintain the database of program candidates and recruitment outcomes.
  • Confirm and document applicant acceptance status, including sending out acceptance and denial notices.
  • Assist in developing and maintaining schedules for program information and interviews.
  • Conduct program information sessions, including for walk-ins.
  • Assist the Community Engagement Associate in conducting English/Spanish open houses.
  • Assist in candidate intake processes, including application reviews, assessments, and back-up interviewing.
  • Support the Human Resources Training Program Coordinator in scheduling pre-employment screenings.
  • Ensure compliance with all regulatory employee hiring documentation.
  • Assist management and training program staff with data collection.
  • Participate in program staff meetings to evaluate trends in recruitment strategies/outcomes.
  • Set up applicant files as per accepted procedures.
  • Support the Employment Counselor with data entry and follow-up of hours worked reports.
  • Assist in the off-site recruitment of training candidates, including conducting suitability interviews as required.
  • Schedule online testing and manage logistics.
  • Perform other duties as needed to support program operations.

Administrative

  • Sort and distribute mail.
  • Format and type program correspondence and reports.
  • Copy and distribute documents.
  • Coordinate and distribute Metro Cards as required.
  • Assist with translation in preparing program correspondence.
  • Create and maintain systems for organizing and accessing organizational materials.
  • Order and purchase office and program supplies.

Qualifications

  • Strong attention to detail and organizational skills.
  • Proficiency in Salesforce and Microsoft Office Suite.
  • Excellent communication skills, both written and verbal.
  • Strong interpersonal skills and high emotional intelligence.
  • Ability to handle multiple tasks and prioritize effectively.
  • Experience in a clerical or administrative support role preferred.
  • Bilingual (English/Spanish) skills are required.

Working Environment

  • Office environment with standard office equipment.
  • Some off-site recruitment activities may be required.
  • Sunnyside Community Services is conveniently located near public transportation (a 10-minute subway ride from Grand Central).

Physical Demands
Bending, sitting, stooping, standing, and computer data entry.

Salary Range: $41,000 to $44,000
