Serving in a temporary role through January 31, 2025, the Program Assistant will assist ESOL instructors, counselor, and other staff to ensure administrative tasks are completed and classes run smoothly. The Program Assistant will be responsible for classroom setup and support, data tracking/entry, and communicating with students. The role will report to the Associate Executive Director for Youth, Family, and Immigrant Services and collaborate with an ESOL Counselor, Data Assistant, and other staff.
Responsibilities
Data tracking
- Maintain accurate attendance records and track participant demographic information using internal databases and monitoring tools.
- Support staff by recording reasons for absence and reporting back to the team.
Classroom setup and instructor support
- Ensure classroom furniture is arranged appropriately for the group size and materials are available for instructors.
- Troubleshoot issues that may arise by sourcing supplies or coordinating with SCS facilities or IT departments for additional support.
Student communication & outreach
- Communicate program updates to students in classrooms and via email/text.
- Proactively conduct outreach to students who miss classes and record reasons for absences.
Assist with registration and enrollment
- Assist with organizing in-person and virtual registration and orientation.
- Conduct intake interviews, assist with registration processes as well as pre-and post-tests as part of the evaluation process.
Qualifications
- Bilingual (Spanish) required.
- Strong interpersonal skills, including verbal and written communication.
- Proficiency with Microsoft Office Suite (Word, Excel, PowerPoint, SharePoint)
- Familiar with online databases such as DYCD Connect, ASSIST, and Salesforce preferred.
- Proficient with Canva preferred.
- Availability from 5:30 pm – 9:30 pm, Monday through Thursday required
Salary: $20 per hour
Reports to: Associate Executive Director- Youth, Family, and Immigrant Services
Schedule: 20 – 25 hours/week
